Information to prepare before setup
Why this matters: A few verified details at the beginning prevent reporting errors that become difficult to correct later.
- The public operating name customers see on Google and at the location.
- The full address, city, and timezone of every location.
- The Google review destination for each venue.
- The names and emails of owners, administrators, managers, and viewers.
- A clear decision about who may approve or publish public replies.
Understand the difference between a business and a location
The business is the overall brand or company. A location is one customer-facing branch, restaurant, clinic, store, or office. One business can have one location or many locations.
Reviews, NFC cards, operating hours, and local responsibilities should be connected to the correct location. Group-wide reports can then compare the locations without mixing their data.
Set up in the correct order

Enter the stable public name and primary timezone used for reports and scheduled work.

Use names that staff can recognize easily and verify each address.

Save the official review destination for that location before creating NFC touchpoints.

Give each person the smallest role that allows them to complete their actual responsibilities.

Ask a manager to confirm that locations, names, access, and Google destinations are correct.
Choose roles by responsibility
- Owner: controls the business and high-impact settings.
- Administrator: manages locations, people, and approved configuration.
- Manager: handles day-to-day work for the locations in their scope.
- Viewer: can read reports but cannot change settings or publish replies.
